Prepare the invoice
Use a clear scan with the full page visible. Straighten rotated pages, avoid shadows and choose a resolution around 200–300 DPI where possible.
Select the correct language
Choose the invoice language only. Add English when international item names or headings appear, but avoid loading unrelated language models.
Extract and structure the result
OCR returns text, not guaranteed accounting fields. Identify supplier name, invoice number, date, currency, tax registration number, purchase-order reference, line descriptions, quantities, unit prices, tax and total.
Validate critical fields
Invoice number, bank details, tax values and totals should receive mandatory manual checks. Decimal separators differ by region, so 1,250 and 1.250 may represent different values.
Match against procurement records
Compare the invoice with the purchase order and goods receipt. Flag price variance, overbilling, missing lines, duplicate invoices and quantities not received.
Keep an audit trail
Record the original document, extracted result, corrections, reviewer and decision in your approved accounting system. OCR output should support—not replace—the controlled approval process.
